FileTaxes.com Overview



1. What exactly is FileTaxes.com? (Back to Top)

FileTaxes.com is a web site for filing information returns online, quickly and easily. From this site, you can complete all of your business requirements for the filing of W-2, W-2C, some 1099s, 941/Schedule B, and 944 forms. After completing and submitting the forms electronically you will be required to enter credit card payment information for the forms selected for filing. FileTaxes.com also allows QuickBooks® users to import tax data for filing W-2 and 1099-MISC forms.

For W-2 and 1099 Forms:

  • For W-2s, we will electronically file W-2 Federal Copy A information to the Social Security Administration.
  • For 1099s, we will electronically file 1099 Federal Copy A information to the IRS.
  • We mail an original W-2 or 1099 form to the recipient (employee or other payee).
  • We send an e-mail confirmation of the transaction to you, the filer.
  • Once the data is submitted you can print copies for your own files as well as for filing with state or local agencies.
  • You are able to review forms filed for the current year and two years prior.

NOTE: You must meet the State and Local filing requirements.

For 941/944 Forms:

  • We will electronically file Federal 941/Schedule B and 944 information to the IRS.
  • We will send an e-mail confirmation of the transaction to you, the filer.
  • You will be able to print a copy of the 941/Schedule B or 944 for your records.
  • You are able to review forms filed for the current year and two years prior.



2. How much does it cost to file forms? (Back to Top)

The cost is $3.79 per W-2 or 1099, and $4.95 per 941, and $9.98 per 944 form filed. This price includes:

  • Electronic filing of tax form data to the Federal Government.
  • An e-mail confirmation of each transaction.
  • The ability for you to print copies for filing of the W-2, W-2C, 1099-MISC and 1099-R forms to comply with State or Local filing requirements.
  • Maintaining your account database from which you can access prior year filing information.
  • Printing and mailing four W-2 employee copies, 1099-R copies or one 1099 recipient copy via first class mail to each recipient.
  • Resending of rejected 941 and 944 forms at no charge.

3. When can I start to file tax forms? (Back to Top)

Even though most businesses will file W-2 and 1099, and 944 forms in January, FileTaxes.com usually switches from prior year forms to current year forms each fall. Tax year 2008 forms are currently available on FileTaxes.com for submission. Remember to file forms prior to January 31, to report prior calendar year wage and income information. 941 forms are filed quarterly and are due one month after the end of each quarter.

NOTE: The first day that IRS accepts e-filings is January 5, 2009. The SSA starts accepting e-filings December 8, 2008. FileTaxes will begin e-filing forms January 5, 2009. Although we will hold government filings for W-2's and 1099's until January 5, the recipients' copies are mailed within one week of submission.



4. How do I pay for the forms I complete on the site? (Back to Top)

We accept Visa, MasterCard, Discover or American Express. Credit card information is required when you submit your forms. The site offers real-time credit card processing.



5. Does FileTaxes.com store credit card information? (Back to Top)

For increased security, FileTaxes.com does not make credit card information accessible on the site. All information is stored in a secure area for record keeping purposes only.



6. What measures are taken to secure my information on FileTaxes.com? (Back to Top)

FileTaxes.com has received a digital certificate from Network Solutions, which means that Network Solutions has verified our identification and issued a unique certificate as proof of identity.

NOTE: This certificate is a statement that guarantees the authenticity of the FileTaxes.com web site. We use Secure Sockets Layer protocol (SSL) and 128-bit encryption, which ensures that information you enter such as credit card number, User ID, and password is encrypted so that they cannot be read or intercepted when passed over the Internet. When you enter a secure web site, your browser displays a closed padlock or an unbroken key on the status bar. Most browsers can also be set to alert you when you enter and leave a secured site. Some earlier browsers may not support SSL protocol; if you encounter problems with security, you may need to upgrade your browser.



7. Will I be able to file my personal income tax form through the site? (Back to Top)

No, the forms filed through FileTaxes.com are as follows: W-2, W-2C, 1099-MISC, 1099-DIV, 1099-INT, 1099-R, 1099-S, 941, 941/Schedule B, and 944.



8. We need to access FileTaxes.com, but do not have the User ID and Password. Would FileTaxes Support be able to give us this information? (Back to Top)

No, it is your company's responsibility to keep a record of the User ID and Password. In order to comply with our Privacy Policy, the ONLY way you can retrieve either your User ID or Password after Account Setup is by entering the email account used for account setup.

1. How are State and Local W-2 or 1099 copies handled? (Back to Top)

As part of the FileTaxes.com service, after you submit your forms, you can print a State/Local copy of each completed W-2, W-2C, or 1099, to have for your records, and/or remit to State and Local governments. We mail the employee W-2 copy, employee W-2C copy, or recipient 1099 copy to the employee (W-2/W-2C) or recipient (1099).



2. How long will it take for my recipient to receive their form in the mail? (Back to Top)

From January 1 through January 26, forms received by 3pm EST are processed and mailed within 3 business days of receipt. From January 27 through February 2, forms received by 3pm EST will be post marked guaranteed no later than February 2. Starting February 16th forms are processed every Monday and Thursday morning and postmarked within 3 business days of processing. Recipient copies should be received within 5-7 business days.



3. How do I obtain a paper copy of each form for my records to mail to the businesses for which I file? (Back to Top)

The service at FileTaxes.com includes the mailing of an original W-2 or 1099 form to the recipient/employee for each W-2, W-2C, or 1099 form filed. You will also receive through e-mail, a confirmation of the transaction. Once the forms are submitted, you can print a file able copy of forms W-2, W-2C, 1099-MISC and 1099-R, and informational copies of the 941/Schedule B, 944, and other 1099 forms.



4. Does FileTaxes.com support the import of data? (Back to Top)

5. I am a CPA and I file forms for several of my clients. Do I need to set up a separate account for each of my clients? (Back to Top)

No, you only need to create one account. As you file forms with this account, the FileTaxes.com site will remember the payer/payee contact information. When filing a form at a later date for this same payer, all you need to do is choose the payer and payee from the drop-down selection boxes on the form. All contact information will be filled in on the form.

Miscellaneous Form Questions



1. Will FileTaxes.com allow me to file corrected forms? (Back to Top)

FileTaxes.com DOES offer the filing of the W-2C form. We DO NOT offer the ability to file corrected 941s or 944s at this time. Corrections for 1099s are scheduled to be available in January 2009.



2. Do the forms on the FileTaxes.com site need to be approved by a government agency? (Back to Top)

The government has approved all of the forms at FileTaxes.com for filing. We ensure that each form is the most current and accurate. Since the 1950's, we have worked closely with the IRS and state agencies to guarantee that the forms your employees and payees receive are approved.



3. I am a small practitioner and prepare 941 and 944 forms for several clients. Do I need to submit a PIN Registration for each client? (Back to Top)

Yes, you are required to have a separate PIN number for each EIN. If you will be filing forms for multiple EIN numbers, you will need to complete a PIN Registration for each EIN. The IRS will mail the PIN number to the client assigned to the EIN. You will need to keep in contact with your client to obtain this PIN number. Please note that a separate PIN is required for each person who will "sign" the 941/944. If at any time in the future a new person will be "signing" the 941/944 for a particular EIN, a new PIN will be required to replace the new signature. Be sure to register using the employer name under which you filed for an Employer Identification Number (EIN). Keep in mind that the IRS will not allow employers that are in arrears or have other tax issues to submit their 941/944 electronically. Therefore, registration for the PIN is also the time when the IRS grants permission to file the 941/944 electronically for a specific EIN.
